About the role
North Northamptonshire Council are currently looking to recruit a Systems Support Assistant to join our busy Customer Advice Team (CAT) within the Registration Service.
The Registration Service has the statutory duty and responsibility in North Northamptonshire district to register life events such as births and deaths, and to take notices of marriage or civil partnership, book them with the approved venues and subsequently solemnise and register them.
What will you be doing?
The main responsibilities of the role are:
- Ceremony allocation planning for up to 30 members of staff which includes a variety of full time, part time and casual workers. The allocation rota is provided up to 8 weeks in advance and can at times require you to resolve staffing issues at short notice.
- Ceremony sales management where you will oversee and check ceremony bookings to ensure all of the requirements are met for the booking process, including payment being taken and Notice of Marriage has been completed by both parties in accordance to the regulated timeframes
- Appointment management which includes monitoring of available appointments to ensure statutory service agreements are met.
- Bespoke regular planning and reporting of ceremony bookings, calendar availability and ceremony allocation /distribution, using the internal systems, to analyse trends in the service and monitor performance against statutory targets.
- Ensuring a continuous scheduling, extraction and delivery of accurate and timely business critical management information and statutory required data.
- Acting as the online booking system Administrator in line with the internal processes and procedures and conducting the timely scheduling and publication of ceremony and appointment ceremony rotas for the operational staff with different working arrangements and availabilities, up to 8 weeks in advance, factoring in seasonality , forward sales , previous data information and staff competency / training.
- Creating and developing precures and documentation for staff and service users to enable a broad support for frontline and back-office staff in relation to the customers.
- Answering emails, phone calls from the Customers regarding the Registration Service processes and supporting the team with booking ceremonies and appointments.
- Carrying out any other duties which fall within the broad spirit , scope and purpose of the job description and which hare commensurate with the grade of the post.
About you
The successful candidate must have extensive knowledge with Microsoft Office Packages such as Word, Excel, Power Point and Outlook on a regular basis, and the ability to use work-based bespoke online booking system (Zipporah).
The candidate must have very good communication skills, timekeeping and problem-solving abilities and experience in a fast-paced environment and working under pressure.
This role also needs a good understanding of the relevant laws applicable to the service and understanding requirements in relation to the Registration service ceremonies.
